Definition – Change management is an approach to shifting/transitioning individuals, teams, and organizations from a current state to a desired future state. It is an organizational process aimed at helping change stakeholders accept and embrace changes in their business environment. In some project management contexts, change management refers to a project management process, wherein changes to a project are formally introduced and approved.

Definition – Change Agent is an individual responsible for executing the change management process and delivering the promised benefits to the organization.  This can be a very difficult task if the transition from current state to desired state involves significant cultural, mission, marketing, sales and other departmental operational paradigm shifts.

Given these challenges, in order for a Change Agent to be successful, requires that the person:

  1. Owns the Vision of the desired state
  2. Have business process engineering skills
  3. Is able to identify and form a team of all the Stakeholders
  4. Is highly focused
  5. Is Skilled at persuasion
  6. Has Program & Project Management skills
  7. Be a master communicator

The Change Agent must be able to state the organizational improvements needed, and why they are important.  The Change Agent must coach the stakeholders through the organizational change process:

  1. Embracing/Adopting the change vision and objectives
  2. Recognizing each stakeholders role, responsibilities and interdependencies
  3. Gaining commitments to perform the tasks necessary to bring about the desired change.

The change agent must oversee that each stakeholder obtains needed inputs, execute their processes and hands off their outputs to other team members per their commitments, in a timely manner.  The Change Agent must regularly communicate organizational transition progress and gain management and team recognition for each member’s success.  When the organizational transition is completed, desired state achieved, and benefits derived, then the Change Agent must gain recognition and rewards for the stakeholder team and its members.
